Creating a booking yourself

This article shows you how to enter a booking by hand — for a walk-in guest at your front desk, or a booking taken over the phone or WhatsApp.

  1. Open the New booking form in the dashboard.
  2. Choose the room, the rate plan (if the room needs one), and the dates.
  3. Read the price before you go any further — see below.
  4. Fill in the guest’s details.
  5. Choose how payment is handled (see below).
  6. Confirm.

The form checks that the room is actually free for those dates. It will not let you double-book — if the room is already taken, it will tell you instead of creating the booking. That protection is always on.

As soon as you have picked a room, dates, and party size, the form shows the price for that exact stay — a per-night breakdown and a total. Read this number back to the guest before you click Create booking, especially if you took the booking over the phone or WhatsApp.

The price can take a moment to load after you change a field. If it cannot be priced (for example, the dates are no longer available), the form tells you and lets you try again — it never guesses or shows a stale number.

“Mark as paid offline” — this is the option to use today. It means: you collect the payment your own way — cash at the desk, a bank transfer, however you normally do it — and the dashboard creates a confirmed booking immediately. The system does not touch the money; it trusts that you collected it.

The booking appears in your Reservations list with status confirmed, and the dates show as taken on the Calendar.
